As a British Columbia physician, how do I submit my sessional time & expenses for the PCAN Summit 2025?
Physicians who have registered to attend the PCAN Summit, can submit sessional time and expenses via an online sessional and expense form.
Important reminders:
- Maximum of eight sessional hours is supported for British Columbia physicians on the full day PCAN Summit, November 3, 2025.
- Reimbursement for travel expenses is only available to physicians located only within British Columbia, specifically for physicians who live outside of Metro Vancouver.
- Please be sure to read the details below on guidelines for your accepted expenses.
- Physicians must submit expenses within three months of the event (by February 3, 2026).
- Physicians must provide detailed receipts of expenses, which will be uploaded by type of expense into the portal. Pre-save your receipts to your smart phone or electronic device. For example, if you have three taxi receipts, please take one scan or picture of those three expenses together.
- If there is anything unusual about your submission, please explain in notes section.
- You do not need to print and sign the form; a digital signature (by typing your name) is all that is required to submit or the PCAN Summit Sessional and Expense Policy.
- As these payments and expenses are only reimbursed via electronic funds, please ensure banking information is updated/linked on the Doctors of BC website.

What funding is available to British Columbian physicians for reimbursement of related costs?
British Columbian physicians can receive funding for costs associated with attending the PCAN Summit 2025 through the Specialist Services Committee, based on the following criteria:

BC physicians attending ONLY the PCAN Summit on November 3, 2025 are eligible to claim the following funding support:
Registration
Complimentary registration for physicians and all attendees of the PCAN Summit 2025. Please note that space is limited and will be allocated on a first-come, first-served basis, with physicians having priority registration.Sessional time
Maximum of eight sessional hours is supported for physicians attending only the PCAN Summit on November 3, 2025. Travel and preparation time are not supported.Meals
Where a meal is provided without charge, no claim for the meal can be made. Refer to the SSC PCAN Summit 2025 Expense Guidelines for details on the meal per diem.Travel and accommodation
Reimbursement is available for travel exceeding a 50km return trip. Travel expenses will be reimbursed for the most expeditious and economical route of travel. Vehicle expenses will be reimbursed at the current rate ($0.63/km) for private vehicle mileage incurred. Accommodation will be provided to those physicians who live outside of Metro Vancouver (Vancouver, North Vancouver, West Vancouver, Richmond, Delta, Burnaby, New Westminster, Coquitlam, Port Coquitlam, White Rock, Surrey, Maple Ridge, Langley, Port Moody, Anmore, and Belcarra) for one night, November 2, 2025. A maximum of $410 per night (including tax) will be reimbursed for accommodation on November 2, 2025. Sessional and travel expense claims should be submitted immediately following the event, with a final deadline of February 3, 2026 (within 3 months of the event). Payment and reimbursement are processed via Electronic Funds Transfer (EFT): Please login to www.doctorsofbc.ca, click ‘Account Login’ > ‘My Details’ > ‘Bank Accounts’ to confirm your banking information. BC Physician attending both the PCAN Summit 2025 and World Congress on Prehabilitation and Perioperative Medicine

- BC physicians attending both the PCAN Summit on November 3, 2025 and the World Congress on Prehabilitation and Perioperative Medicine from November 3 to 5, 2025, can receive a 50 percent reimbursement on the registration fee for the World Congress Prehabilitation and Perioperative Medicine. To qualify, attendance at the PCAN Summit on November 3, 2025 is mandatory and the World Congress of Prehabilitation and Perioperative Medicine registration fee proof of full payment is required when submitting an expense claim. Please keep a copy of the registration payment receipt and submit an expense claim after attending the PCAN Summit 2025.
- No additional sessional and expense funding support eligible for BC physicians attending the World Congress on Prehabilitation and Perioperative Medicine on November 3, 2025.
- The PCAN Summit and World Congress on Prehabilitation and Perioperative Medicine are two different events and organized by two separate organizations. That means, BC physicians will have to register for the World Congress on Prehabilitation and Perioperative Medicine and contact that team for clarification and support.

Registration
- Complimentary registration for physicians and all attendees of the PCAN Summit 2025.
- BC physicians will be reimbursed 50 percent of the registration fee cost for the World Congress World Congress on Prehabilitation and Perioperative Medicine when also attending the PCAN Summit. Physicians will need to keep a copy the registration payment transaction and submit an expense claim AFTER attending the PCAN Summit 2025.
- Please note spaces are limited and will be allocated on a first-come, first-served basis with physicians having priority registration.
Sessional & Expense Claim
There will be no sessional, meal, accommodation, or travel expense support for the World Congress of on Prehabilitation and Perioperative Medicine.

BC physicians attending only the evening PCAN Project Showcase on November 2, 2025 are unable to claim World Congress of Prehabilitation and Perioperative Medicine registration fees, sessional time or any other associated travel expenses through the PCAN Summit.

PCAN Objectives:
- Foster exploration, sharing, and support of strategies for provincial surgical priorities
- Facilitate the spread of quality improvement and innovation ideas to elevate surgical care in BC
- Leverage network data to guide quality improvement opportunities provincially
The Perioperative Clinical Action Network (PCAN) invites and involves a diverse range of stakeholders, ensuring that all multidisciplinary network members have a voice. The PCAN Advisory Committee will include representation from the Doctors of BC, Ministry of Health, health authorities and patient representatives.
PCAN members stay connected through webinars, emails, and a highly anticipated annual PCAN Summit. The PCAN Summit agenda will have a rich variety of presentations, all centred around surgical priorities. With hands-on workshops and engaging discussions, it is an event not to be missed!
PCAN also supports innovative improvement activities by providing successful applicant innovation funding. The PCAN Innovation Fund empowers perioperative project teams to explore creative solutions aimed at enhancing surgical services for British Columbians.

Now Accepting Applications: PCAN Innovation Project Funding 2025/26
A British Columbian licensed physician may apply for the PCAN Innovation Fund online at: https://checkbox.doctorsofbc.ca/ssc-surgical-innovation-intake-form
We have specific interest in funding innovation projects that align with BC's current surgical priorities. These types of projects are chosen through a competitive intake process where the application will be assessed on:
1) The level of innovation in the perioperative services.
2) The scope, expected impact and spread of the deliverable.
3) The evidence in support of the project e.g., scientific merit, existing research, and evidence.
4) Preparedness of the project team for the proposed project.
5) The impact of the project towards the Institute of Healthcare Improvement (IHI) Quadruple Aim.

Application Process

The PCAN Innovation project applications will be accepted and reviewed throughout the year. The project selection, formal approval, and fund agreement(s) will commence four times a year in March, June, September, and December. Before applying, the PCAN Innovation Project Physician Lead (and Project Manager if available) shall read the PCAN Innovation Fund Guideline and search The Exchange database of quality improvement projects across BC to ensure that there are no previously funded or completed innovations projects that are too similar to their proposed plan. A licensed British Columbia Physician can only online at https://checkbox.doctorsofbc.ca/ssc-surgical-innovation-intake-form
All applications are confidential. As instructed in the online application, to better understand the proposed project, the following information is required:
1) Project description and a summary of the problem it will address.
2) Aim statement.
3) Estimated timeline and budget.
4) Description of the support and the quality improvement qualifications of the team.
5) Description of three measures used to demonstrate the path to improvement.
All applications will be screened, if the project is not expected to move forward in the application process, the Physician Lead will be notified. Further details will be required if the project is accepted to proceed in the application process. Additional instructions regarding project management documentation and reporting will be provided.

Fund Agreement, Financials & Reporting

Agreement
The successful recipient of SSC PCAN Innovation funding will be required to review and sign a fund agreement. This agreement will summarize the signatories, innovation deliverables, timeline, budget, and specified funding structure/process. All PCAN Innovation Fund Projects must follow the Doctors of BC policies and guidelines, and the PCAN Innovation Fund Agreement between the SSC and the Project fund holder.
Finance and Project Status Reporting
It is the responsibility of PCAN Innovation Physician Lead and /or project manager to diligently maintain the financial logs and budget. A breakdown of the fund usage shall be included in the monthly project status reports submitted through the SSC PCAN Innovation Project portal.
Mandatory monthly project status reports shall be submitted through SSC’s online reporting portal on the first Friday of each month throughout the project’s life cycle.
